Identify the plan set and scope

Use this worksheet before a draft takeoff becomes a priced bid. Start with the drawing revision, included trades, and scope boundaries. A quantity can be accurately counted from the wrong sheet and still be wrong for the job.

Store real plans, supplier quotes, customer details, and commercial terms privately. This public worksheet is an educational review aid, not a professional certification of an estimate.

  • Project reference and plan-set revision: ______
  • Included trades, alternates, and exclusions: ______
  • Reviewer and unresolved scope questions: ______

Review each quantity

For every priced line, retain a sheet or source reference, material specification, unit, measured quantity, waste assumption, and reviewed order quantity. Check that a count, length, area, or volume has not been substituted for another unit.

Investigate uncertain or omitted lines before relying on the total. Human confirmation of one line does not validate every assembly in the plan set.

  • Plan sheet and line item: ______
  • Specification and unit: ______
  • Measured quantity and measurement method: ______
  • Waste assumption and rounding rule: ______
  • Reviewed order quantity and reviewer: ______

Confirm what the price means

Separate a dated reference benchmark from a current supplier quote. Record source, as-of time, location, unit, and whether tax, freight, labor, overhead, and contingency are included. Confirm availability and substitutions with the supplier before committing to the job.

Portravo uses authored Sacramento material benchmarks and labeled regional adjustments elsewhere. Those are estimating references, not live supplier offers. Bring your own labor-rate basis and review current procurement conditions.

  • Material price source and as-of time: ______
  • Benchmark or supplier quote: ______
  • Location and unit-price match: ______
  • Labor, tax, freight, overhead, and contingency treatment: ______
  • Supplier confirmation and unresolved items: ______

Reconcile the bid before release

Illustrative quantity example: 40 studs plus a chosen 10% waste allowance gives 44 studs. The allowance is an assumption for this example, not a universal rule. Multiply by a confirmed per-stud price, then keep additional cost components visible.

Markup and margin use different bases. With an illustrative cost of 100 and a selling price of 125, markup is 25% and gross margin is 20%. Use the same definitions throughout the estimate and avoid counting overhead twice.

  • Arithmetic, units, and duplicated scope checked: ______
  • Markup versus margin convention: ______
  • Included costs and exclusions attached: ______
  • Remaining assumptions communicated: ______
  • Final reviewer and release decision: ______

Use the worked example

Portravo provides a worked material estimate and a free quote-audit entry point. Use them to see the review structure, then validate your own project quantities and supplier basis. This worksheet makes no claim about customer savings, takeoff accuracy, or final bid suitability.
